Administrative Coordinator (part-time, remote, contract role)
Position Overview
The Artists Against Antisemitism is seeking a detail-oriented and proactive Administrative Coordinator to provide organizational, communication, and operational support to our leadership team, reporting to our Fractional Executive Director. This part-time, remote, contract role will help keep our growing nonprofit running smoothly by managing day-to-day operations, communications, and volunteer coordination as well as providing general assistance to the Fractional Executive Director.
Inbox Management:
Monitor and respond to incoming messages and respond within 24-hours
Route correspondence to appropriate team members and actively manage follow-through, tracking requests until they are fully resolved by leadership
Draft professional and thoughtful email responses
Manage organizational sign-ups and subscriptions
Administrative Support:
Schedule board, exec committee, and additional meetings as needed
Create agendas for above meetings
Take notes at meetings when requested
Track action items for the Executive Board
Track project management from inception to completion
Manage the AAA calendar and send reminders to board
Make minor website updates (training video available)
Manage and organize organizational files
Assist Fractional Executive Director in all areas of job function
Newsletter Production:
In collaboration with newsletter committee, assist with newsletter production, including scheduling, research, and drafting when requested
Put approved newsletter copy into template on email system, send, and promote via social media channels
Share analytics report
Volunteer Coordination:
Work with Volunteer Coordinator to facilitate volunteer management by keeping track of volunteer spreadsheet and communicating with volunteers as needed
Social Media Management:
Monitor comments and messages
Flag important interactions
Prepare simple reports on engagement and growth
Plan and execute calendar of social media posts, ensuring adequate lead time for holidays and other time-sensitive material
Concept social media posts to be approved by ED/board
Post approved graphic/copy
Design:
Design pieces within our brand guidelines in Canva
Event collateral
Social media posts
Documents with content provided (case for giving, bookstore guide)
Merch
Qualifications: The Administrative Coordinator will be thoroughly committed to the mission. All candidates should have organizational and administrative experience. Specific requirements include:
High school diploma or equivalent
Knowledge of and interest in the literary/fine/performing arts
Ability to multitask and operate independently
Proficiency with Google Workspace, Excel, Instagram, Canva, and Squarespace preferred
Pay: $30/hr, maximum of 10 hrs per week

Fractional Executive Director (remote, 6-month position with possibility to extend)
Position Overview
The Artists Against Antisemitism is seeking an experienced, entrepreneurial, forward-thinking Fractional Executive Director to serve as an ex-officio member of the Board of Directors. The Fractional ED reports to the Board of Directors and will work hand-in-glove with the Board to determine priorities and focus among the list of below responsibilities.
While the Executive Director’s role and responsibilities within a growing nonprofit will continuously evolve, key leadership attributes required for this position include:
Transparent and collaborative leadership
Genuine understanding of and passion for the vision, mission and values of the Artists Against Antisemitism
Proven integrity and discretion
The following responsibilities and qualifications are foundational to the Executive Director’s role; how these responsibilities are fulfilled will evolve as the organization continues to develop.
RESPONSIBILITIES
In Strategy & Business development, the Executive Director will:
Work with the board to build a long-range strategy which helps AAA achieve its mission, and begin to execute this strategy in a measurable manner
Cultivate a strong and transparent relationship with the Board of Directors and ensure open, consistent communication
Develop programs, organizational, and financial plans in collaboration with the Board of Directors and, with the Administrative Coordinator, oversee the execution of those plans
Develop systems and processes to improve organizational efficiency and operations, including but not limited to software and workflow suggestions
Maintain a working knowledge of what’s happening broadly in the arts world and specifically in the Jewish arts world and share out with the executive board
Build and strengthen partnerships with peer organizations
In Philanthropy and Communications, the Executive Director will:
Oversee revenue-generating and fundraising activities to work toward long-term organizational sustainability
Assess communications with the goal of strengthening and clarifying the brand
Effectively communicate organizational impact, including by creating semiannual report
Represent the organization’s programs and perspective to external agencies, organizations, and the public, including by attending meetings as AAA representative
Identify and organize potential grant opportunities to support AAA’s programs and initiatives
In Administration, the Executive Director will:
Partner with Treasurer to oversee the financial integrity of the organization including monitoring the budget and ensuring financial controls are in place.
Communicate with legal, accounting, and other professional partners to support smooth operations and compliance
Ensure effective administration of operations including policies and procedures for all functions and for day-to-day operations
Maintain official records and documents, and ensure compliance with federal, state and local regulations.
Manage the part-time Administrative Coordinator
QUALIFICATIONS
The Executive Director will be thoroughly committed to the mission. All candidates should have proven leadership and relationship management experience.
Specific requirements include:
Advanced degree or comparable work experience
Demonstrated ability to set clear priorities, delegate, and guide people and systems
Commitment to quality programs and data-driven program evaluation
Success working with a Board of Directors with the ability to cultivate, partner with and engage board members to achieve strategic goals
A persuasive communicator with excellent project management skills and the experience to be an engaged and effective spokesperson, relationship builder and fundraiser
Action-oriented, adaptable, and innovative leadership and work styles
Pay: $7,000 monthly retainer
